Invoice, Billing & Charge Policy
Last updated: 7 October 2026
This policy explains how Movezle invoices every charge across AURVITRUCK, AURPulse, AURForge, Movezle Roadside Assist, Movezle Protect and LAKHSONN OS subscriptions, so that a customer never receives an unexplained consolidated amount.
1. Invoice principle
Every Movezle transaction generates a transparent invoice. Each charge appears as its own line with its basis (rate card, plan, provider invoice or commercial agreement). Amounts are shown before tax, with tax, and net of credits.
2. Invoice types
| Invoice | Purpose |
|---|---|
| Booking / Freight | The transportation booking and its freight |
| Waiting | Waiting beyond the free period |
| Detention | Customer-caused vehicle detention |
| Standby | Customer-requested standby |
| Cancellation | Cancellation charge |
| Roadside Assistance / Towing / Repair | Breakdown, towing, recovery and repair services |
| Driver Replacement / Cargo Transfer | Replacement driver; transfer to a replacement vehicle |
| Insurance Premium | Premium for a policy bought through Movezle Protect |
| Subscription | LAKHSONN OS and other subscriptions |
| Fuel / FASTag / Additional Service | FuelTag, FASTag and other approved services |
| Credit Note / Debit Note | Refund or adjustment / additional legitimate charge |
| Final Settlement | Complete trip settlement |
3. Booking invoice
A transportation invoice shows the invoice number, booking ID, trip ID, customer ID and GSTIN, billing address, pickup and delivery locations, vehicle number and type, driver and assistant, booking date, trip start and completion, and PO or reference number; and, commercially, base freight, included and additional kilometres and hours, loading/unloading, waiting, detention, standby, toll, parking, state tax or permit charges where applicable, and other approved expenses.
4. Waiting
Waiting is charged only beyond the free period for the vehicle class, in 30-minute steps, as three lines: vehicle, driver and, where present, assistant. Chargeable waiting = actual waiting − free waiting. Example: 45 minutes free, 2 h 15 m actual, 1 h 30 m chargeable at ₹300 / ₹100 / ₹60 per hour = ₹450 + ₹150 + ₹90 = ₹690.
5. Detention
Detention is separate from ordinary waiting and always states the reason, the arrival time, the end of the operational period and the release time, then vehicle, driver and assistant detention as separate lines — a complete audit trail. Example: arrived 10:00, operational period ended 10:45, released 14:00, chargeable detention 3 h 15 m.
6. Standby
Standby is when the customer asks the vehicle to remain available (for example 18:00 to 22:00). It is invoiced as vehicle, driver and assistant standby and is never automatically classified as detention.
7. City no-entry holding
Every invoice for a trip through a restricted city carries a dedicated line, City No-Entry Holding, showing the city, window and duration — for example "Delhi — Holding for city entry — 20:00–23:00 — 3 hours". When the holding is caused solely by a legally applicable city no-entry restriction that was built into the ETA, this line is shown as Informational / ETA adjustment — ₹0.00. Two things are chargeable and appear as their own lines: holding the customer opted into at booking as the optional paid holding (vehicle and crew kept at the city edge at the customer's request, charged at standby rates), and any holding the customer requests beyond the legally required period (customer-requested standby/detention). See Detention & Waiting Charges and Shipping & Tracking Terms.
8. Cancellation
Before assignment: ₹0, recorded as "Cancellation — Before Assignment — ₹0". After assignment: 10% of booking freight, subject to the applicable class minimum. After vehicle arrival: 25% of booking freight plus legitimately incurred waiting, standby and provider costs, each shown as its own line. See Cancellation & Refund.
9. Roadside assistance invoice
Every assistance job carries its RSA Incident ID (MZ-RSA-NNNNNN) and lists the services performed — dispatch, towing, mechanic, labour, spare parts, battery, tyre service, fuel delivery, driver replacement, workshop transfer, cargo transfer, other — then shows separately the Movezle assistance benefit under your plan, the insurance-covered amount as assessed by the insurer (not a Movezle refund), the customer payable amount and the provider payable. See the Roadside Assistance Policy.
10. Insurance premium invoice
Premium is invoiced separately from transportation revenue and shows the insurance product, the insurer, the policy or certificate number, the insured value, the premium, taxes and the total premium. Movezle never combines premium into freight and calls the whole amount "Movezle insurance".
11. Insurance claim settlement
A claim settlement is paid by the insurer under its policy. If a cargo loss of ₹2,00,000 is settled at ₹1,60,000, the ₹40,000 difference is recoverable from the customer or fleet only where the policy and the circumstances allow. Movezle does not represent an insurer's settlement as a guaranteed Movezle refund. See the Insurance, Protection & Claims Policy.
12. Breakdown repair invoice
Labour, parts, towing, diagnostic, emergency surcharge, taxes and total are shown separately. Major repairs require the customer's or fleet owner's approval in the app before work begins.
13. Driver replacement invoice
Replacement driver fee, travel or repositioning, accommodation where applicable and other approved expenses, with the reason recorded: driver illness, accident, emergency, customer-requested replacement or operational requirement.
14. Replacement vehicle invoice
When the original vehicle cannot continue, the invoice lists the original trip freight, replacement vehicle freight, cargo transfer, towing, waiting, additional kilometres, temperature monitoring and other approved charges. Any amount Movezle waives appears as a Movezle Service Recovery Credit line rather than disappearing from the invoice.
15. Cargo transfer
For cold-chain shipments the cargo transfer service covers transfer labour, replacement vehicle, temperature monitoring, emergency handling, loading/unloading and packaging where applicable, and records the transfer start and end temperature, location and duration against each line.
16. Subscription invoice
Plan, billing cycle, start and end date, users, features, base subscription, taxes, discount and total. Cancellation stops future renewal; amounts already paid for the current period are non-refundable unless the applicable plan, commercial agreement or law provides otherwise. Where a plan permits a prorated refund, it equals the unused eligible period × the applicable refund calculation.
17. Disputes
You have 7 calendar days from the issue date to dispute an invoice or a charge; every invoice prints its dispute deadline. Raise it in the app under Invoice → Dispute Charge, with the invoice number, trip ID, the disputed line, the reason and evidence. Movezle reviews the trip timeline, GPS and provider records and decides within 10 working days.
18. Credit notes
When Movezle refunds or adjusts a charge, the original invoice is never silently changed. A credit note (CN-MZ-YYYY-NNNNNN) is issued against it: original ₹10,000, approved adjustment ₹2,000, credit note ₹2,000, net payable ₹8,000.
19. Debit notes
A legitimate cost that arises after the original invoice (for example additional toll of ₹850) is issued as a debit note (DN-MZ-YYYY-NNNNNN) rather than by modifying the original invoice.
20. GST and taxes
Invoices carry GSTIN, place of supply, HSN/SAC, CGST, SGST, IGST or UTGST as applicable, exempt and non-GST items where legally applicable, reverse-charge treatment where applicable, tax rate, taxable value and tax amount. The tax treatment of each line is determined by the nature of that service and current GST rules; Movezle does not apply one rate to all services.
21. How freight is priced
Freight is quoted by a dynamic market-rate engine, not a flat table. The customer selects vehicle → body type → temperature → tonnage → route → pickups and drops → date and time (for example "14 ft Reefer — 4–5 ton — 2 °C to 8 °C"). A booking whose cargo weight exceeds the vehicle's permissible capacity is refused and a suitable larger class suggested.
Dynamic ₹/km = the vehicle class base rate × city tier (Tier 1 +20%, Tier 2 +15%, Tier 3 +10%, other 0%) × a live traffic factor (normal 1.00 up to severe/peak 1.20; restricted or exceptional conditions are priced manually or by contract) × demand × season × direction. The factors are shown on the quote.
Billable kilometres are the optimised route distance across all legs (pickup 1 → … → drop n) plus an operational allowance of 5% by default, which may be set differently for a route or contract. Base freight = billable kilometres × dynamic ₹/km. The first pickup and the first drop are included; each additional pickup or drop is charged a stop fee (a base fee × vehicle factor × city factor, within a published range), and a route deviation beyond the billable distance is charged at the vehicle's dynamic rate. Complex loading, extra waiting and special handling are charged under their own sections.
Market freight already prices the vehicle's running. Fuel, reefer energy, crew, toll, maintenance, assistance and insurance costs are tracked by Movezle as internal operating cost and are not added on top of the market freight, except where the contract separately prices fuel (section 22) or reefer running.
22. Fuel, reefer and platform fee
Where a contract prices freight as vehicle, driver, assistant and margin excluding fuel, fuel is calculated for each trip and shown as its own line. Where freight is quoted at the market rate (section 21) or the contract's base freight already includes fuel, the fuel line is shown as informational at ₹0 — fuel is never charged twice.
Fuel = billable kilometres ÷ the vehicle's approved mileage × the applicable fuel price, where billable kilometres are the mapped route distance plus a 5% buffer. The mileage (km per litre) is set by the fleet owner when the vehicle is onboarded on AURForge and is validated against the class range; it is a vehicle parameter, not a universal figure. Example: 1,000 km + 5% = 1,050 km ÷ 3.0 km/L = 350 L × ₹95 = ₹33,250 (illustrative).
Reefer running is a separate line for refrigerated transport: reefer operating hours × the reefer hourly cost set by the fleet owner, or, where the refrigeration unit burns fuel from its own tank, its litres × fuel price — never both. Standard cabin AC is included in freight; a special continuous-AC requirement is charged only where agreed.
Movezle platform fee is applied to the billable trip value after discounts, as a percentage, a fixed amount or a hybrid (fixed + percentage) according to the customer's commercial agreement and payment option, and is shown as its own line before tax.
23. Consolidated trip settlement
| Charge | Amount |
|---|---|
| Base freight (excl. fuel) | ₹25,000 |
| Fuel — 1,050 billable km ÷ 3.0 km/L = 350 L × ₹95 | ₹33,250 |
| Reefer running — 14 h × ₹250 | ₹3,500 |
| Waiting | ₹690 |
| Detention | ₹1,500 |
| Standby | ₹800 |
| Toll | ₹2,200 |
| Parking | ₹300 |
| Roadside assistance | ₹0 |
| City no-entry holding | ₹0 (informational) |
| Insurance premium | ₹750 |
| Subtotal | ₹67,990 |
| Discount | −₹1,000 |
| Movezle platform fee (e.g. 8%) | ₹5,359.20 |
| Taxable value | ₹72,349.20 |
| GST (per line, as applicable) | calculated per service |
| Final trip cost | ₹72,349.20 + applicable GST |
Fuel, mileage, reefer consumption, platform percentage and GST above are illustrative; the actual invoice pulls them from the vehicle master, the approved fuel price, the route and the customer's commercial agreement.
24. Customer invoice and fleet settlement
Two different documents are maintained: the customer invoice (what the customer owes Movezle) and the fleet settlement (what Movezle owes the fleet owner: base trip earning, waiting, detention, standby, toll reimbursement, fuel adjustment, driver allowance, incentive, less penalty, insurance and RSA deductions where applicable, platform commission, GST/TDS where applicable, net payable). Movezle pays the fleet owner on the delivery day; see Payment Terms.
25. Driver settlement
AURPulse driver settlement = trip earning + waiting + detention + standby + driver allowance + incentive − advance − applicable deductions = net driver payable.
26. Invoice status
Draft → Pending Approval → Approved → Issued → Sent → Partially Paid → Paid; or Overdue, Disputed, Credit Issued or Cancelled.
27. Automatic invoice events
LAKHSONN OS generates the charge event automatically on trip completion (final invoice), free waiting exceeded, detention triggered, standby requested, cancellation, breakdown, towing, repair, driver replacement, cargo transfer, insurance purchase, subscription renewal and approved adjustment (credit or debit note).
28. Audit trail
Every financial line records who created it, who approved it, when, why, the source event, GPS evidence where relevant, the trip timeline, customer approval, the provider invoice and supporting documents. This is what a detention dispute is decided on.
29. Master billing formula
Final Customer Payable = Base Freight + Billable KM charge + Fuel Cost + Reefer / Special AC Cost + Waiting + Detention + Standby + Toll + Parking + Permits / Approved Expenses + Roadside Assistance + Replacement Driver + Cargo Transfer + Other Additional Services + Insurance Premium − Discounts − Credit Notes + Movezle Platform Fee + Applicable Taxes. City No-Entry Holding is displayed separately and is normally ₹0 when solely caused by a planned statutory restriction, unless the applicable commercial terms expressly provide otherwise.
30. Payment states
A booking is paid in one of four ways: Pay now (before or at booking), Pay partial (an advance, with the balance due after the trip), Pay after trip (approved credit terms) or Credit account (enterprise customers with an approved credit limit). In every case: trip completed → final invoice generated → payment due date → payment → settlement. Example: invoice ₹72,349 + GST, advance paid ₹20,000, balance payable ₹52,349 + applicable tax adjustment. Platform fees and interest by payment option are in our Payment Terms.
31. Invoice footer
Important: Charges are calculated according to the applicable booking, quotation, rate card, subscription plan, service terms and commercial agreement. Waiting, detention, standby, cancellation, roadside assistance, insurance and third-party service charges may apply where applicable. Insurance benefits are subject to the applicable insurer's policy terms, conditions, exclusions, limits and claim assessment. City no-entry holding may be displayed separately as an ETA-related operational event and does not automatically constitute customer-caused detention.
